 Case Study

Clinical Research Management System for a US Federal Government Agency

Client Overview

The National Institute on Aging (NIA) is part of the U.S. National Institutes of Health (NIH) and supports clinical research aimed at improving the health and well-being of older adults.

To manage a growing portfolio of federally funded clinical studies, NIA required a centralized system that could provide program staff with a comprehensive view of research performance, enrollment progress, and study activities.

The Challenge

NIA oversees numerous clinical research programs conducted by external research institutions and grant recipients. Managing these studies requires coordination between federal staff, researchers, and partner organizations.

The agency needed a platform that could:

  • Centralize oversight of NIA-funded clinical research

  • Track participant enrollment across multiple studies

  • Provide real-time visibility into research performance

  • Maintain secure management of study documentation

  • Generate analytics and reports for program evaluation

  • Ensure compliance with federal accessibility standards

Without a unified system, research data and operational reporting were fragmented across multiple tools and processes.

The Solution

Touchcore Systems helped develop a cloud-hosted clinical research management platform that provides program staff and research teams with a comprehensive view of research activities, enrollment data, and study documentation.

The system serves as a centralized portal for managing research operations, enabling stakeholders to track study performance and monitor clinical research programs effectively.

Core Platform Capabilities

1. Real-Time Research Tracking
The platform enables near real-time monitoring of clinical research enrollment data and study activities across federally funded research programs.

2. Study Document Management
Researchers and program staff can securely store, organize, and access study-related documents within a centralized system.

3. Workflow Management
Built-in workflows streamline the management of research activities and improve coordination between program staff and research teams.

4. Analytics, Reporting, and Dashboards
Interactive dashboards and Power BI reports provide insights into study performance, enrollment trends, and operational metrics.

5. Section 508 Accessibility Compliance
The platform adheres to U.S. federal accessibility standards, ensuring that individuals with disabilities can access and use the system effectively.

Outcomes

The delivered platform significantly improved the management and oversight of federally funded clinical research programs.

Key outcomes include:

  • Real-time tracking of participant enrollment and research activities

  • Centralized management of clinical study documentation

  • Improved coordination between program staff and research teams

  • Advanced analytics and reporting for monitoring research performance

  • Full compliance with federal accessibility standards

The system provides a scalable, secure, and efficient platform for managing complex clinical research portfolios and supporting data-driven decision-making.

Enabling Real-Time Oversight of Federally Funded Clinical Research

Touchcore Systems collaborated with a U.S. federal IT services contractor, Digital Infuzion LLC to develop a cloud-based Clinical Research Operations Management System (CROMS) for the National Institute on Aging (NIA). The platform enables federal program staff and research grantees to track clinical research activities, enrollment data, and study documentation in near real time, improving visibility and oversight across federally funded research programs.
